Most companies already have a warehouse in 1C or MyWarehouse, and sales go to a Telegram bot or a mini-application. There is usually a living person between these two worlds: the manager unloads the balances in the morning, manually adjusts the prices in the catalog, and at the end of the day transfers the orders back to the account. It is at this junction that resorting is born, orders that have nothing to ship, and customers who received a check half an hour before the answer "and this is no longer there".
The Telegram bot + warehouse bundle removes this problem entirely. Бот перестаёт быть отдельной витриной, которую нужно кормить вручную, and becomes another window into the same accounting system where accountants, storekeepers and supply workers are already sitting. Below — what it gives to the business, what processes it closes and how such a bundle is usually arranged.
Headache: two records instead of one
The classic picture of a small wholesale warehouse or online store looks like this:
- accounting, receipt, prices — in "1C" or "MyWarehouse";
- showcase and orders — in the Telegram catalog;
- the balances in the bot are updated once a day by the manager;
- after payment, the order is manually transferred from the bot back to the account.
Everything breaks on such a "manual bridge": the client sees the goods that have already been given to another buyer; the manager rules the balances in three places at once; the accountant checks the unloadings and swears at discrepancies. In our experience, at the junction with Telegram, companies usually lose from 5 to 15 percent of orders — simply because the data did not have time to reach.
What changes when the bot works with the warehouse directly
When the accounting system and the bot are interconnected, the very model of work changes. The bot no longer stores "its" copy of the balances — it asks the warehouse at the time of the client's request and shows exactly the picture that is now. This produces four specific effects.
Actual balances and prices
The client sees in the bot directory or mini-application what the storekeeper sees in "MyWarehouse". If the last pair of goods left half an hour ago, the bot no longer offers it. If the supplier has changed the purchase order, the bot will show a new retail order at the next order — according to the pricing rule that is established in the accounting system.
Order status that the customer understands
The order is not lost in the status "paid, but it is unclear where". As soon as the storekeeper has made a shipment in the accounting system, the client receives a clear message in Telegram: "Collect", "Transferred for delivery", "Can be picked up". This is why people generally return to the store — a sense of control.
Reserve goods for a paid order
Payment in the bot automatically creates a reserve in the accounting system. The goods are "frozen" for a specific customer for the agreed time, and if payment is not received, the reserve is withdrawn, and the balance is again available to other buyers. No separate “who booked what” tables in Google Docs.
One source of truth for accounting
Orders, payments and refunds are recorded as normal documents — without manual input. The accountant does not post "receipts from the bot" separately from "receipts from the site": everything is summarized in one report.
What business processes it closes
The connection with the accounting system is not a "trick for IT specialists", but quite tangible processes that usually take time and nerves from an entrepreneur.
- Wholesale — the manager sends a price list to the client in Telegram and accepts the order directly in the dialogue. Prices and availability are pulled from 1C at the time of request.
- Retail store with delivery — the client collects the basket in the mini-app, pays, and the storekeeper immediately sees what to collect and in what sequence.
- Multiple outlets — the customer sees in which store the desired product is now, and not "it seems to have been last week".
- Returns and exchanges — the client clicked "Return order" in the bot, the return document appeared in the account, the balance returned to the warehouse automatically.
If the warehouse is not maintained in "1C" and not in "MyWarehouse", but, for example, in "MyWarehouse Light" or a simple Google table, the scheme still works — the bot contacts the source where you have the remains.
What is important to consider when setting up a ligament
The bundle itself is technically simple, but it is useful for an entrepreneur to understand several principles — so as not to get into a "done, and then surfaced" situation.
- One master catalog. We create product cards where the warehouse lives. The bot and the widget should not have a separate nomenclature — otherwise the "two accounts" will appear again.
- Pricing rules — in the accounting system. The bot should not decide what price to show the VIP client or the participant of the promotion. All discounts and markups are taken into account, the bot only displays.
- Rights of managers. If some of the actions remain with the person (for example, confirmation of a bulk order), in the bot we make separate scenarios for the manager and for the buyer — with different levels of access.
- Exchange log. It is useful to see which orders were recorded, which ones were not, and why. Otherwise, in case of failure, you will only learn about the discrepancy from the client.
Widget as a showcase on top of the warehouse
Separately, it is worth mentioning about mini-applications. The catalog in the format of a regular bot is convenient for a small assortment and repeated purchases. If there are a lot of goods, filters, characteristics, remnants in size or colors appear — Telegram Mini App comes to the rescue.
In fact, the mini-app is your directory site that opens directly in Telegram. The link with "1C" or "MyWarehouse" here works according to the same rules: the showcase shows what is in the warehouse right now, and any actions of the buyer — order, payment, reserve — are instantly reflected in the accounting system.
To start with
In order for the Telegram + warehouse bundle to work for you, it is usually enough to go through three steps:
- Determine which scenario is the most important for you: wholesale price in the messenger, B2C showcase with delivery, booking against payment or working with multiple points.
- Check that the accounting system is in order: a single nomenclature, clear pricing rules, current balances, clear order statuses. The bundle does not heal the chaos in the data — it makes this chaos visible to everyone at once.
- Find a team that knows how to make bundles of bots with "1C" and "MyWarehouse", and not just "turnkey bots".
Final
A Telegram bot or a mini-app with no connection to the accounting system is the second storefront that you need to feed manually. Linking with "1C" or "MyWarehouse" turns the messenger into another sales channel on top of your warehouse: prices and balances are always relevant, orders are automatically recorded, the client understands what is happening with his purchase, and the manager ceases to be a "manual bridge" between the two systems.
STORE BotCreator we make such bundles as a typical scenario: a bot or a widget plus data exchange with your accounting system — without manual transfer of tables and summaries at the end of the working day.
